By booking an appointment with IFIA RIT Department, you are agreeing to the terms and conditions below.

  1. Who will be dealing with the matter?

Where you have booked an appointment with a named solicitor, it is intended that that person will provide the advice. This is subject to our rights under section 4 below.

  1. Who is our client?

We will assume the person making the booking is the person intended to be our client. If you are seeking to make a booking on behalf of someone else please explain this in the comments box when booking. You will need to include their name and contact details.

  1. Conflict of interest checks

After we have received your booking, we will check to make sure there are no conflicts of interest with other parties involved in your case. Should we identify any reason why it is not appropriate for us to act for you we will notify you by telephone or by email as soon as we can and, where we reasonably can, we will recommend other advisers you can consider.

  1. Cancellation/refusal of appointment/change of adviser

We reserve the right to refuse or cancel any booking at any time, although we would normally only do so in exceptional circumstances. We may, for business operational reasons, need to change your chosen/appointed adviser. Where this becomes necessary, we will inform you of the proposed change and you can then choose whether you wish to proceed or cancel your appointment.

  1. Amending your appointment time

You can amend your appointment up to the deadline stated in your confirmation email. If you would prefer to speak to us about rearranging your appointment, you can contact us via info@RIThub.org  and ask for the relevant team. If you need to amend your appointment time after the deadline for making changes, please call us.

  1. Timetable for the work

We will meet with you at the time agreed between us.

 

  1. General Terms and Conditions:

 

7.1 Who we are:

We are IFIA RIT (Research Innovation Teams) Department (“Company,” “we,” “us,” “our”), a non-profit organization based in Geneva, Switzerland. We operate the website http://www.RIThub.ORG (the “Site”), as well as any other related products and services that refer or link to these legal terms (the “Legal Terms”) (collectively, the “Services”).

7.2 How we process your personal data:

IFIA RIT Department complies with its obligations by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

We use your personal data for the following purposes:

  • To provide product and design information and services to our customers;
  • To administer the company including the provisions required for all employees;
  • To maintain our own accounts and records;

 

7.3 The legal basis for processing your personal data:

Processing where contracts are the essential element.

 

7.4 Sharing your personal data:
Your personal data will be treated as strictly confidential and will only be shared with personnel and other organisations associated with IFIA RIT Department in order provide company services. We will only share your data with third parties for the running of the company subject to relevant legal provisions incumbent on all.

 

7.5 How long we keep your personal data:
Normally customer data that has not involved a financial transaction in its capture is kept for 2 years after which the customer will be asked to consent to further retention. Customers who have undertaken a financial transaction with the company will also have their data held for 5 years for information provision purposes as well as for repeat business. Contractors and Employees data will be reduced to a minimum on completion of the contract and only kept a record of employment/service for reference purposes. All Financial records and associated personal data will be kept for the year of the transaction and 6 full tax years following.

 

7.6 Your rights and your personal data:  

You have the following rights with respect to your personal data:

  • The right to request a copy of your personal data which IFIA RIT Department holds about you;
  • The right to request that IFIA RIT Department corrects any personal data if it is found to be inaccurate or out of date;
  • The right to request your personal data is erased where it is no longer necessary for IFIA RIT Department to retain;
  • The right to withdraw your consent (if under the consent permission) to the processing at any time;
  • The right to request that the data controller provide the data subject with his/her personal data and where possible, to transmit that data directly to another data controller, (known as the right to data portability), (where applicable) [Only applies where the processing is based on consent or is necessary for the performance of a contract with the data subject and in either case the data controller processes the data by automated means].
  • The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing;
  • The right to object to the processing of personal data, (where applicable)

 

7.7 Further processing:

If IFIA RIT Department wish to use your personal data for a new purpose, not covered by this Data Protection Notice, then we will provide you with a new notice explaining this new use prior to commencing the processing and setting out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing.

 

7.8 Your part in Data protection:

It would be very useful if you could make a point of keeping the company informed of any changes to the information, we hold about you.

  1. Types of data we collect

8.1 Website Cookies

Our website uses cookies to collect information.  This includes information about browsing behavior by people who access our website: pages viewed and the customer’s journey around our website.

8.2 Google Analytics

When someone visits www.RIThub.org we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behavior patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

8.3 Mailing Lists

As part of the registration process for support videos, documents and E-newsletter that we offer to you on our website, we collect personal information. We use that information for a couple of reasons: to tell you about stuff you’ve asked us to tell you about; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. We don’t rent or trade email lists with other organizations and businesses.

We use a third-party provider, MailChimp, to deliver our emails. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our communications to you. You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing info@RIThub.org .

8.4 Third Parties

Your information is only accessible to third parties which help us to manage our business, such as our Accountants, our Customer Relationship System, and Web Hosting.

Please rest assured that none of the above partners are able contact you unless you tell them this is acceptable. We will not share sensitive information or your payment details. This is something you will control.
